Management & Program Assistant

The incumbent serves as a Management and Program Assistant in the System Oversight Division, solely responsible for administrative support of at least two Branches and/or Section offices as part of the regular assigned duties. Performs a combination of routine and multiple and varying assignments in support of administrative programs under the limited direction of a manager or more experienced employee. Assists managers and other employees in day-to-day operations, and may act as a lead for other support staff to coordinate multiple assignments. May serve as backup to other Branch or Section offices. The workforce and the organization rely heavily upon this position for accuracy and timeliness in the completion of assigned tasks.The incumbent applies experience and advanced knowledge to plan and perform administrative assignments with an understanding of how administrative assignments contribute to organizational activities. Work activities typically support multiple projects/programs and contribute to the objectives of one or more organizational units and/or major subdivisions. Assists two or more assigned office managers and their office employees in day-to-day operations. Researches, interprets, and applies regulatory and policy guidelines to answer employees and manager's questions and/or help them solve administrative problems. Tracks and analyzes data to ensure compliance with policies and procedures. Ensures organization administrative processes are functioning efficiently and effectively and in accordance with current guidance, policies, procedures, and regulations.Demonstrates considerable independence in planning time, and coordinates only as needed with a manager or more experienced employee to prioritize assignments and use assigned resources. Often helps others plan and identify resources to accomplish projects/programs/tasks. Maintains and updates organizational information systems to ensure accurate account of staff levels, employee position assignments, employee status, tracking obligations, and expenditures of funds throughout the execution phase of the annual operating budget cycle. Plans, coordinates, and schedules meetings including participants from multiple internal and external groups. Collects and organizes documentation for all meetings.Established policies/procedures provide guidance for most assignments, but allow some discretion for the employee to select the most appropriate approach(es) or to recommend new approaches. Typically works under limited instructions that are provided by a manager or more experienced employee. May provide recommendations to improve work process. Ensures compliance with facility, regional, and service area security guidelines and policies governing the issuance of keys, parking decals, identification badges, proximity cards, and other access credentials for FAA employees, contract employees, and visitors. Receives visitors and callers. Ensures effective management and internal controls of assigned agency property through periodic inventories in accordance with the agency guidelines. May serve as a Purchase Credit Cardholder and perform all associated activities for purchase and validation. Collects, compiles, and formats historical and trending financial information/reports to contribute to the preparation and submission of budget requirements.Performs time and attendance duties for a large group of employees. Utilizes travel system to initiate, complete, review and validate travel authorization and vouchers to ensure compliance with governing guidelines. Uses a variety of software programs to prepare narrative documents, reports, graphs and charts. Reviews outgoing correspondence for proper grammar, formatting, and accuracy.Contacts are typically internal and external. To qualify for this position at the FG-7 level you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FG-6 level (GS-6/FV-E). Specialized experience may include but not limited to:

To qualify for this position at the FG-8 level you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FG-7 (GS-7/FV-E). Specialized experience may include but is not limited to:
Skills in planning and managing the office's daily administrative functions, maintaining automated systems to record, reconcile, validate, and track data; identifying and resolving discrepancies; performing various analytical studies; interpreting and providing guidance; and performing multiple and varying assignments in the areas of financial support, personnel matters, personal property, and travel administration.FG-9:
To qualify for this position at the FG-9 level you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FG-8 (GS-8/FV-F). Specialized experience may include but is not limited to:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
